๐‰๐จ๐› ๐’๐ฎ๐ฆ๐ฆ๐š๐ซ๐ฒ:
Under the supervision of the Deputy Registrar-Academic Administration Affairs, the Assistant Registrar โ€“ Recruitment, Admissions & Registration is responsible for coordinating and managing student recruitment, admissions processes, registration services and related administrative functions of the institution.
๐‘๐ž๐ฌ๐ฉ๐จ๐ง๐ฌ๐ข๐›๐ข๐ฅ๐ข๐ญ๐ข๐ž๐ฌ ๐Š๐ž๐ฒ ๐ƒ๐ฎ๐ญ๐ข๐ž๐ฌ ๐€๐ซ๐ž ๐€๐ฌ ๐…๐จ๐ฅ๐ฅ๐จ๐ฐ๐ฌ:
โ€ข Coordinate and manage student recruitment, admissions and registration processes in line with institutional policies and approved procedures.
โ€ข Develop and implement student recruitment strategies to achieve enrolment targets.
โ€ข Coordinate recruitment campaigns, career fairs, school visits and exhibitions.
โ€ข Promote the institutionโ€™s academic programmes through presentations, and marketing initiatives in collaboration with the Marketing Office.
โ€ข Coordinate opening and processing of student applications and ensure timely preparation and dissemination of application materials.
โ€ข Administer, maintain and continuously update student records and databases to ensure accuracy, completeness, confidentiality and data integrity.
โ€ข Provides guidance and ensures that there is compliance with the Polytechnic Statutes and Ordinances, Acts, Policies and Regulations relating to Admissions and Registration.
โ€ข Support the implementation, administration and optimization of the Student Information Management System and ensure effective utilization of automated student administration processes.
โ€ข Prepare, monitor and analyse student enrolment statistics, programme quotas, sponsorship allocations and manage deferments, withdrawals, re-admissions, transfers, change-of-programme processes and any other related processes.
โ€ข Generate periodic statistical and management reports relating to admissions, enrolment, registration, retention and graduation for strategic planning and decision making.
โ€ข Maintains confidentiality, security and safety of office documents by establishing security protocols and procedures.
โ€ข Registers newly admitted and continuing students and ensure timely dissemination of student lists to relevant departments and authorities.
โ€ข Coordinates verification of academic qualifications with relevant bodies examinations and accrediting bodies.
โ€ข Supervises, mentors, support and monitors the performance of junior officers under his/ her supervision in line with institutional policies.
โ€ข Services as the Secretary of the Polytechnic Admissions Committee and as such prepares and submits applicantsโ€™ information and admission lists for consideration by the Committee and other authorities and structures.
โ€ข Establish and maintain a rapport and liaise with high schools, sister institutions, sponsors, and relevant external bodies.
โ€ข Contribute to policy development, review and continuous improvement of admissions, registration and student administration processes.
โ€ข Respond to enquiries from prospective students, current students, parents, academic departments, and other stakeholders, and provide guidance on programme selection and admission requirements.
โ€ข Coordinate orientation and induction programmes for new students.
โ€ข Liaise with academic, administrative departments to ensure smooth student administration processes as it relates to career guidance, student recruitment, admissions and registration.
โ€ข Performs such other relevant duties as may be assigned to him/her by the Supervisor.
๐๐ฎ๐š๐ฅ๐ข๐Ÿ๐ข๐œ๐š๐ญ๐ข๐จ๐ง๐ฌ ๐š๐ง๐ ๐„๐ฑ๐ฉ๐ž๐ซ๐ข๐ž๐ง๐œ๐ž:
โ€ข A Bachelors Degree in Statistics, Business Administration, Public Administration, Management Sciences, Data Science, Information Systems, Data Management or other related field with 4 yearsโ€™ experience relative to the specific requirements of the position.
OR
โ€ข A Postgraduate qualification in Statistics, Business Administration, Public Administration, Management Sciences, Data Science, Information Systems, Data Management or other related field with 3 yearsโ€™ experience relative to the specific requirements of the position.
โ€ข Working experience from a tertiary institution will be an added advantage.
โ€ข Experience working with Student Information Management Systems or Enterprise Resource Planning (ERP) systems.
โ€ข Experience in data management, statistical reporting and enrolment management.
โ€ข Experience in handling high-volume data, administrative and customer service environments.
